Smart Document Assistant

User Guide

Ask the assistant, read source-cited answers, navigate the workspace, and manage your account.

As a User, the assistant is your day-to-day home: ask questions in natural language and get answers grounded in your institution's documents — limited to the departments you belong to.

Signing in

Open your institution's login page, enter your site, email, and password. If you were just invited, use the "Set your password & get started" button in your welcome email to set an initial password, then sign in. (Forgot your password later? Use Forgot Password on the login screen.)

Asking the assistant

  • Type a question and send it. The assistant retrieves the most relevant passages within your access scope and composes an answer from them.
  • Answers are grounded and cited: each answer links to the source document and location it drew from. Open a citation to verify the claim at its source.
  • If your documents don't support an answer, the assistant will say it can't find the information rather than guess — a trustworthy "not found" beats a confident wrong answer.
  • You can give feedback (thumbs up/down) on an answer, and your conversations are saved so you can return to them. Your conversations are private to you.

You can only ever retrieve content from documents in your departments and your site — never another team's or another institution's.

  • Single sidebar — your workspace uses one clean, Notion/Linear-style sidebar.
  • Collapse to focus — collapse the sidebar to widen the reading area. The collapse/expand control lives inside the sidebar. When collapsed, the sidebar shows just the brand mark; hover it (or tab to it with the keyboard) and the expand control appears in its place — click it to reopen. Your collapsed/expanded preference is remembered across visits.
  • On the chat screen, the primary rail may auto-collapse to give your conversation more room; you can always expand it, and leaving chat restores your saved preference.

Managing your account

From the footer Settings (gear) → Profile, you can:

  • Update your display name.
  • Choose your appearance (light / dark).
  • Change your password.

Only you can change these — attempts to alter your role or memberships through the profile are ignored.
